How to properly prepare a file for large format printing: a technical guide

A complete guide on preparing artwork for large format print. Learn about resolution, color profiles, bleeds, and file formats recommended by LOOP DESIGN ADV.

Unlike small-format digital printing, where the 300 DPI standard is a universal golden rule, large-format advertising production (banners, mesh, lightboxes, vehicle wraps, or retail branding) operates under completely different rules. A common mistake made by beginner designers or clients creating their own graphics is using the same setup recipe for an A4 flyer as they would for a 6x3 meter roadside billboard. The consequences can range from massive, unprocessable files to heavily pixelated images and completely shifted colors.

Properly preparing your document not only cuts down production time but also eliminates any risk of a faulty print. Here is our step-by-step technical guide to submitting flawless files.

The correct resolution: debunking the 300 DPI myth

In large-format printing, the optimal resolution is directly determined by the viewing distance. A massive billboard placed next to a highway will never be viewed from 30 centimeters away. For this reason, an excessively high resolution is not only useless but can crash the RIP software. Conversely, for an indoor lightbox in a retail store, where customers walk right past the graphics, fine details must be absolutely perfect.

  • For giant billboards and outdoor mesh banners (over 10 square meters, viewed from a long distance): a resolution of 50 - 72 DPI is absolutely sufficient.
  • For medium banners, outdoor panels, and vehicle wraps (viewed from a distance of 3 - 5 meters): we recommend a resolution of 100 - 150 DPI at a 1:1 real scale.
  • For indoor lightboxes, exhibition stands, roll-ups, and posters (viewed from less than 1 meter): the recommended resolution is 150 - 200 DPI.
  • For fine art prints or premium retail displays with tiny details: you can use 300 DPI, but only if the physical size does not exceed a couple of meters.

Color profile: why your screen is lying to you

All screens (monitors, phones, tablets) use the RGB color model (Red, Green, Blue), which is an additive model based on direct light. Large format printing equipment uses the CMYK color model (Cyan, Magenta, Yellow, Black), which is a subtractive model based on light reflecting off ink pigments. Due to this physical difference, the RGB color gamut is much wider than the CMYK one.

If you send an RGB file to print, the printer's software will perform an automatic conversion to CMYK. This uncontrolled conversion almost always results in dull, washed-out green-blue hues or rich reds turned into muddy browns. Therefore, it is mandatory to set your workspace in Adobe Illustrator, Photoshop, or InDesign to CMYK from the very beginning. The recommended color profile for most of our large-format machinery is Coated FOGRA39 or ISO Coated v2.

Bleed margins and safe zones

Even the most advanced cutting and finishing machinery has slight alignment tolerances. To prevent unsightly white lines on the edges of the finished product, the artwork must extend beyond the final cutting lines. This extra area is called the bleed.

Additionally, important elements (text, logos, crucial details) must be kept inside a safe zone to avoid being accidentally cut off or covered by metal eyelets, rod pockets, or aluminum frames on lightboxes.

  • For stickers, posters, and rigid panels: add a 5 mm bleed on all sides. The safe zone for text should be at least 10 mm inside the cut line.
  • For banners with eyelets and hems: a classic bleed is not necessary, but all text and logos must be placed at least 50 mm away from the outer edge to prevent being punctured by the metal eyelets.
  • For textile lightboxes (SEG - Silicon Edge Graphics): add a generous 15 mm bleed on all sides, as the fabric stretches significantly during installation.

The ideal export format and text preparation

The safest method for sending a file to LOOP DESIGN ADV is the PDF format, exported using the PDF/X-1a or PDF/X-4 standards. This format embeds all fonts, raster images, and vector paths into a single stable container. Additionally, the TIFF format (uncompressed or with LZW compression) is perfect for large raster-only files, as it preserves pixel quality without lossy compression.

Another golden rule: convert all text to outlines (create outlines or convert to curves). If you send a PDF file without outlined fonts, there is a risk our operating system might not have your exact font, automatically replacing it with a standard one (usually Arial or Myriad), which will ruin the entire graphic layout.

A rigorous technical check before sending files to production saves hours of rework, substantial material costs, and guarantees that the finished setup looks exactly as designed on the monitor.

Yes. If you are working on a massive project (e.g., a 20x10 meter mesh banner) and your computer cannot handle the file size, you can design the graphics at 1:10 scale. In this case, ensure the resolution of the raster images is multiplied by 10. For example, to get a 50 DPI resolution at real scale, your 1:10 scale file must be saved at 500 DPI. Clearly state the 1:10 scale in the file name.
